EVE Auto Email Agent & Warm Touches – Part 2

Last week we looked at creating an EVE Auto Email to be sent to PADI Discover Scuba Diving participants, in order to encourage them to sign up to the PADI Open Water Course.

Once this process has taken place, it’s not time to stop. We should remind our customers of how much we think about them and make their transition from the experience of Discover Scuba Diving through to PADI Open Water Diver as stress-free as possible. So this week, we’ll be using a new template and auto email script and reminding our customers when their course starts, and what they should bring with them. It also gives us a perfect oppourtunity to start talking to our customers about relevant equipment purchases.

The script we’ll use this week is this:

This script selects all customers who are starting a PADI Open Water Diver Course (course type 33) in the next 10 days.  If you want to this email to go out 7 days before the course starts, simply change the 10 in the last line to be 7).

The script also returns the Course Start Date so that this can be included in the email.  You’ll notice the email template below has a field called [CourseStartDate] to merge this date into.

PADI Launches its latest time saving upgrade – EVE 5.7

Process your Positive Identification Cards (PIC) and Discover Scuba Diver participant data with one click

EVE 5.7 represents a streamlined upgrade that saves dive centres and resorts valuable time in processing student data.

How? This version of EVE includes a new PIC Online process that interacts with PADI’s PIC web services. The feature is a one click process that allows the retail or resort member to submit all of their PIC information to PADI, including the image. The member is instantly able to print out the temporary card along with the diver’s certification number.

If a piece of valuable customer information needed for certification has been missed eg. Date of birth or email address, the system highlights it so it can be corrected straight away.

Commenting on feedback from the testing phase with dive stores,Simon MorganSenior Director, Technology and eBusiness PADI Worldwide stated,

“I’ve spoken with many of the beta testers (stores) and every one of them loved this feature and the ease of which it is implemented within EVE 5.7. The common comments were that it was quick, easy and gave us instant feedback if there was an issue with the cert data being submitted.”

Accurate data capture saves time

Even better, you can now use the system to upload your Discover Scuba Diving participants.

To improve the accuracy of your data capture on all students there’s an additional new user interface which enables customers to directly input their own contact information into EVE. Busy stores can save time on staff inputting data, though will need to provide an accessible computer on the sales floor for customers to enter their own details.

Tec Rec Diver EVE Template Email

A new addition to the EVE Email Template library.  Scroll down for instructions on how to use the template with EVE, and refer to our previous article for integration with the EVE Auto Email Agent.

To Edit the Template for EVE. –

You can edit the templates in a number of ways including Dreamweaver and other html edit software.

Below I will explain how you can edit templates easily in outlook as a basic option;

Open the .html file template in a internet browser e.g. Internet Explorer (click the thumbnail above to open the template)

Then click: File > Send > Page by E-Mail…

You can then edit the email in outlook from here and then send it to yourself to save for EVE.

Important: Please make sure you update the sections that you need to edit, i.e. contact details, Facebook page and customised eLearning link.

Make your edits then send to yourself as you would with normal EVE templates. Once you’ve received the email back to yourself, click ‘forward’, remove all the junk at the top and then save it to your ‘drafts’ folder in Microsoft Outllook.

EVE Auto Email Agent & Warm Touches

If you attended the PADI Member Forum during 2011, you will remember the topic of ‘warm touches’. For those PADI Dive Centres using EVE (recently updated to version 5.7 – including 1-click PIC processing), staying in touch with your customers and increasing the number of contacts you have with them is easy.  However, setting up this functionality can sometimes be a little daunting when you are faced with the prospect of  writing your own EVE auto email agent scripts to send emails to customers at predetermined points in their education.

Therefore, we’re going to do it for you.  Over the next few weeks we’ll be publishing the EVE Auto Email Agent code, and email templates that will enable you to carry out the following auto emails for every customer that comes to your store on an Open Water Course.  Once you’ve set these up, you should then be able to customise them for every other course level that you conduct and store within EVE.

We’ve expanded on the ’7 warm touches’ and can immeidately think of at least 11 ways to contact a new customer during their Open Water Diver course:

  1. Thanks for completing a DSD – Now sign up to Open Water Diver
  2. Thanks for signing up to Open Water – Things you’ll need (kit sales + ‘don’t forget your towel) – Medical Attached
  3. Getting closer to day 1 of open water (7 days away) – Want to call and buy your snorkel and mask
  4. Starts tomorrow – Have you completed knowledge development and medical statement?

After session 1 (Knowledge Development / Confined Water):

  1. Congratulations on first step – how was it for you – link to 1st questionnaire (service, ease of booking,
  2. Next session coming up – here’s some equipment you might want to think about – Manufacturers input.

Loop until course completed (5-6 iterations) End of course:

  1. Congratulations email – Specialty Programmes are next

After their course is completed, maybe 7 days have passed since certification.

  1. Haven’t heard from you, when are you coming back?
  2. We miss you, come visit us and continue your adventure
  3. Join the dive club and save money on future experiences, courses and kit
  4. Holiday time is coming, look at our list of trips.

Someone completes a PADI Discover Scuba Diving Experience, and you want to send them an  email encouraging them to sign up to PADI Open Water Diver.

Once you have the email saved in your Outlook Templates folder, use the following code within the Auto Email Agent script window:

This code tells the auto email agent to look for all courses that were completed yesterday (today’s date minus 1) where the course type was 11 (Discover Scuba Diving).  If you need to find the course ID for any course in EVE, you’ll simply look at the course type screen for the greyed out number next to ‘ID’:

 

Once all of this is set up, your auto email agent screen should look something like this:

Click the test button to see if there is any data ready (people who conducted a PADI Discover Scuba Diving experience yesterday), and then click OK to save the auto email agent setting.

That’s it! Every morning at 7am, the agent will check the EVE system for Discover Scuba Diving participants who completed yesterday and send them the preformatted and personalised email that you’ve built and saved into Microsoft Outlook.  You’ll never have to remember to email those participants again.
